Volunteers help set up the day before the conference and keep things running smoothly on conference day. In exchange for volunteering, you will receive free admission to the conference. Please do not sign up for the conference separately--you will be registered through the volunteer program.

Sign up is ONLINE ONLY – the volunteer coordinator cannot add you to the list. Each shift has a limited number of spots. If you are unable to access the sign-up sheet for the shift you prefer, it has reached capacity, and you will need to sign up for a different shift.

You will receive an automated confirmation email when your submission is registered. If you do not receive this email within two (2) days of filling out the online form, please go back and try signing up again using the same email address. The system will either accept your second attempt or indicate that the email has already been registered – either way, your submission is confirmed. Please do not email the volunteer coordinator.

The waiting list will open only after all spots in all shifts are full. For the past two years, we have contacted EVERY NAME on the waiting list about openings. We cannot guarantee shift availability, and it is likely you will not hear from the volunteer coordinator until a week or two before the conference.

IMPORTANT ACCESSIBILITY NOTE: There are only a few tasks that do not involve walking or standing on the day of the conference. Anyone who needs to sit or has other restrictions is encouraged to sign up for Shift 1 on the day before the conference or contact the volunteer coordinator separately.

SHIFT 1 (Bag Stuffing and other conference set-up day before conference: 9:00am - 4:00*pm) *Volunteers may be released early, if all tasks are complete, but please plan on a full day.

Duties on Day before Conference Include: Stuffing conference registration bags, putting name badges together, delivering materials to session rooms, assisting with speaker materials, etc.

Dress for Day before Conference Only: Casual, comfortable clothes and shoes that support a lot of standing and walking.

SHIFT 2 (Early shift day of conference: 6:00 am -11:00 am)
SHIFT 3 (Second shift day of conference: 9:00 am - 2:00 pm)
SHIFT 4 (Afternoon shift day of conference: 1:00 pm - 6:00 pm)

Duties on Day of Conference Include: Speaker escorts, session timekeepers, session monitors, providing directions and helping in the Career Pavilion, with booking singings and other activities in the Exhibit Hall. Shift 4 volunteers will also assist session wrap-up efforts such as gathering materials from session rooms and packing up the bookstore.

Dress of the Day of Conference: All volunteers are requested to wear white and black (i.e., black pants and a white blouse or sweater). No jeans or graphic t-shirts. We recommend comfortable clothes and shoes that support a lot of walking.

Do I need to register for the conference separately?

NO. Volunteer registration for the conference will go through the Volunteer Coordinator.

Can I attend the conference if I am a volunteer?

YES. Volunteers on the day before the conference can attend the entire conference. Volunteers on the day of the conference can attend sessions before and/or after their assigned shifts.

Will I be able to attend the keynote luncheon?

Yes. All volunteers will be provided lunch and hear the keynote luncheon speakers. Lunch is also provided to volunteers who assist on the day before the conference.

Are special meals provided?

Vegetarian meals will be provided if you make a notation on your sign-up form. The vegetarian meal option satisfies vegetarian, vegan and gluten-free dietary requirements. If you have other dietary restrictions, please bring your own meal, as no other special meals will be offered.

What will I be doing during my volunteer shift?

Specific duties and instructions will be assigned on site.

Are parking and travel costs covered for volunteers?

No. The conference does not reimburse volunteers for parking or travel. If you have questions regarding parking locations or transportation, look under the “Program” tab on the home page for travel information.

What are the next steps?

The volunteer coordinator will reach out to you approximately thirty (30) days prior to the conference to confirm your availability and shift assignment. We appreciate your patience.

If you have not received a message from the volunteer coordinator a month before the conference, please check your spam folder. You must respond to this final email to be confirmed as a volunteer.
